All of us have a few personal images stored somewhere on our computers. These pictures are usually cluttered up on our system, taking up a significant amount of disk space. Hence, organizing them would make it easier for us to modify and navigate through our memories.

The photos are best organized on a Mac computer through the built-in Photos app. Through this app, not only can you manage your images in different ways, but you can also sync them altogether through your iCloud account. The application is pretty smooth with its operations and easy to follow through with its different features.

Like any other application, you can access the Photos app either from the Finder or your Launchpad. It offers the most convenient way for you to organize your photos. And once you do so, you can view and alter all your pictures directly through this application in an effective and efficient manner. 

The library contains all the media files imported into your Photos app. These pictures and videos can be sorted and viewed either in Years, Months, or Days format. 

If you choose to do so, the application will compile all the images that were taken/edited in the said timeframe.

But, not all the pictures stored on your Mac computer will not automatically appear on the Photos app. That is because all the media files on your Photos app can be synced through your iCloud account.

Doing so will let you view all those media files from multiple devices that have the same Apple ID. You can also enable or disable the iCloud sync can at your will.

So, taking this into consideration, here’s how you import images to the Photos app:

Open Photos. 

Choose the required images and Import them. 

This image can now be accessed from your Photos Library. 

The Photos library might not be the only library on your system. For e.g., images taken from your system webcam are stored in a different library and different locations on your computer. You can, however, directly switch the main photo library on your Photos application through its preference settings. Here’s how to do so:

Open Finder. 

Hold Option and open Photos. 

On the Photos application, you have the option to group your images in terms of People and Places. These options can be accessed from the left sidebar of your application. 

Open the image you want to assign a location on. 

Type the related location and select it from the drop-down list. 

Here, you also have the option to Add Faces. However, as mentioned above, the application automatically scans and groups the faces on the People tab.  

Memories offer a fun way to view and organize your media files. It shows a slideshow of the selected images, along with music in the background. The slideshow can be altered to move at a faster or slower pace as well. 

To create a new memory, follow the steps shown below:

Open Photos. 

Then, open an album from under My Album. 

Set a new name for your memory and Save it.  

You can alter the pace of your memory slideshow as well. Here’s how you can do it:

Play a memory. 

You can decrease the background volume by using the volume slider on the ribbon menu as well. 

Unlike Memories, People and Places, albums are not automatically created by your Photos application. You can create a new album and organize them by following the steps shown below:

Open Photos. 

Name this album. 

Smart album is a feature of Photos that lets you specify certain image conditions for that particular album. Once you pick the conditions, the system automatically creates a (smart) album consisting of all the images that match those conditions.

Open Photos. 

Choose to create Smart Album. 

Then, choose to match any or all of the following conditions. 

Any photos/videos that meet those conditions are automatically added to this smart album. 

All the albums you create on the Photos app can be accessed through the Photos sidebar. You can change the order of these albums by holding them and dragging them up or down on the sidebar album list. When you drag an album and drop it on top of another, you’ll get an option to Merge those two albums. 

To add pictures and videos to an album, follow these steps:

Open Photos. 

Select Library from the sidebar. 

Select your album from the drop-down list. 

Shared Albums lets you share your albums with your friends. You can create a shared album and invite your iCloud contacts to view the images inside the album. The invitees can also add their images to that album. Here’s how you can configure a shared album on your system:

Open Photos. 

Enter a Shared Album Name. 

Open the album you just created from the sidebar. 

Folders contain albums inside of them. By default, you’ll see four folders on your Photos application sidebar; Media Types, Shared Albums, My Albums and My Projects.  

Media Types breakdowns your media files into Videos, Selfies, Portrait, Time-lapse, and Screenshots. You can view the required media file from these independent breakdowns. Shared Albums and My Albums contain all the respective albums you manually created. Similarly, My Project groups every project you’ve made.

However, you can create your own new folder as well. You can then add the required albums to this folder to better optimize and manage your photo catalogue. Here’s how to do so:

Open Photos. 

Set a name for your new folder. 

Projects in Photos come in the form of photo extensions. These extensions let you print out a physical copy of Books, Calendars, Cards, Wall Decor and Prints of your selected photos. The final ‘printed’ product will be physically delivered to your location.

There is one virtual project that you can create from the My Projects menu. That is, the Slideshow project lets you create a slideshow for the selected images along with music in the background. These slideshows are presented on Photos in the form of a Project and not as a Memory. So, here’s how you create a Slideshow project:

Open Photos. 

From the right of the preview window, select the desired Themes, Music and slideshow payback Duration. 

When you sync Photos on iCloud, your media library is copied to the iCloud servers. You can then view the library from multiple devices that are connected with the same Apple ID or from the iCloud website. 

If you are running out of space on your Mac, you can delete the media library completely from the system, as the entire catalogue will get uploaded to the iCloud servers. So, here’s how you sync your photos through iCloud:

Open Photos. 

Navigate to the iCloud tab. 

Set up your iCloud account. 

Then, once this is done, open Finder. 

Select iCloud from the sidebar.

Force quit and reopen the Photos app

Sometimes uploading, fetching, and downloading new media can be stuck because of minor issues in the Photos app. Simply force close and reopen the Photos app, which will resume the process.

Make sure iCloud Photos is enabled on all devices

Use the same Apple ID everywhere

Check your Wi-Fi or enable cellular data for iCloud Photos

For both these functions to work, the device from where photos are uploaded and the one where they are downloaded must have a working, reliable internet connection.

If you don’t have access to Wi-Fi, you can enable iCloud Photos to work on cellular data:

Open the Settings app on your iPhone.

Scroll down and tap Photos.

Tap Cellular Data.

Enable the switch for Cellular Data to allow iCloud Photos to work even when you’re not connected to Wi-Fi. Next, turn on Unlimited Updates if you’re on an unlimited cellular plan.

Note: If you’re using Low Data Mode, turn it off.

Check Apple’s system status

It is not unusual for Apple’s iCloud servers to be having issues. Quickly check Apple’s System Status, and if Photos, Apple ID, iCloud Account & Sign In are facing problems, you will have to wait a few hours until Apple fixes it. Once that’s done, iCloud Photos sync should resume on your devices.

Free up iCloud space

You get 5 GB of free online iCloud space with every Apple ID. This 5 GB is shared among various services, including iCloud Photos. You can subscribe to iCloud+ to increase this storage to 50 GB or all the way up to 2 TB.

Free up local storage

Besides sufficient free iCloud space, you must also have some free local space on your iPhone and iPad for iCloud Photos to upload and work as intended. Once you make space, iCloud Photos sync should start working again.

Regularly restart your devices

A temporary glitch may cause iCloud Photos to freeze and stop it from uploading new media to iCloud. Just turn off your iPhone, iPad, or Mac and turn it back on to solve the issue.

If iCloud Photos is not working on your Windows computer, make sure iCloud for Windows is updated.

Charge your iPhone

The process for adding an image to a note is different than attaching a file on iPhone and iPad. For the first, you can add a photo directly from the Notes app. But for the second, you must go to the file instead.

Add an image or video from Notes on iOS

Launch the Notes app and open the note where you want to add the image or video. Then use the toolbar above the keyboard to insert your photo.

1) With your note open, put your cursor where you want to insert the item and tap the Camera icon in the toolbar.

2) Select Choose Photo or Video. If you want to capture the picture or video on the spot, you can pick Take Photo or Video instead.

3) Use the Photos or Albums tabs or the Search box at the top to locate the item.

4) Tap the photo(s) or video(s) you want to insert (you can add more than one at a time) and tap Add.

You’ll then see your items pop right into your note.

Share an image or video from Photos to Notes

If you happen to be already using the Photos app, you can add an image or video from that app to Notes as well. You’ll open the item and use the Share menu.

1) With your photo or video open, tap the Share button at the bottom. You can also share albums or multiple photos at once using the Share button or three dots at the top to access the Sharing options.

2) In the second row of the share sheet, select Notes. If you don’t see Notes, scroll to the right, tap More, and add Notes to the top section.

3) Under Save To you can leave it set to New Note to create one or tap to choose a note to add your photo or video to.

4) Optionally, add text to your note.

5) Tap Save.

When you open the Notes app, you’ll see either your new or existing note containing the photo or video.

Add a file to Notes on iOS

Maybe you have a PDF file, Pages document, or other type of file that you want to include in a note. Unfortunately, you cannot currently add a file to a note from the Notes app. You’ll need to go to the file on your iPhone or iPad and share it to a note similarly to how you would share an item from Photos to Notes above.

1) Open the file you want to attach to a note and access the Sharing options. In some cases, you’ll see the Share button, like for an item in the Files app. In others, you’ll tap the three dots on the top right and select Share, like for a Pages document.

2) In the second row of the share sheet, select Notes.

3) Under Save To, leave it set to New Note to create one or tap to choose an existing note.

4) Optionally, add text to your note.

5) Tap Save.

When you use Notes on Mac, you can add both images and files directly from the Notes app. While this makes it simple, we’ll also show you how to do the reverse for times when that’s more convenient.

Launch the Notes app and open the note where you want to attach an item. Then do one of the following.

Share an image, video, or file to Notes

If you have the Notes app open along with the Photos app or folder containing the file, you can simply drag the item over to your note. This is the quickest and easiest way to add an image or file to Notes on Mac. But of course, you have another option.

If you don’t have the Notes app open, you can insert an image or a file from its own location using the Share menu.
